Privacy Policy
Flatlog is a digital maintenance logbook for apartment buildings. The building's committee records maintenance payments and expenses, publishes a monthly statement, and each flat acknowledges it. This policy explains what information Flatlog collects, why, who can see it, and how you can delete it. We follow India's Digital Personal Data Protection Act, 2023.
Who we are
Flatlog is run by Sai Janardhan Rao Yachamaneni, Hyderabad, India ("we", "us"). Contact: flatlog.app@gmail.com.
What we collect
- Your mobile number. Used to sign you in with a one-time code sent by SMS.
- Your name and language. Shown to your building's committee and on entries you record or acknowledge.
- Your flat and role. Which flat you belong to, whether you are an owner or tenant, and your committee post if you have one.
- Building details. Building name, address, pincode, number of flats, and, only if a committee member chooses to share it, the building's location from their phone at the time of setup.
- Building money records. Maintenance amounts, payments recorded for each flat (amount, date, mode such as cash or UPI, and any reference number such as a UTR), expenses, one-off charges, cost splits and monthly statements.
- Collection details. If the committee adds them: the UPI ID or bank account number and IFSC where residents pay maintenance.
- Acknowledgements. When your flat acknowledges a statement or notice, we record who acknowledged it and when.
- Crash reports. If the app crashes, technical details about the crash and your device type, so we can fix it.
We do not collect your contacts, photos, messages or your phone's location (apart from the one-time building location above). Flatlog does not process payments; it only records payments that were made outside the app.
Why we use it
- To sign you in and keep your account secure.
- To keep your building's maintenance logbook: who paid, what was spent, what each flat owes, and who acknowledged each statement.
- To let the committee approve people who ask to join, and invite others.
- To fix crashes and problems in the app.
We do not sell your information, and we do not use it for advertising.
Who can see it
- Your building's committee can see members' names, flats and mobile numbers, so they can approve requests and contact residents.
- Residents of your building (owners who live there and tenants) can see the building's money records, flat-wise dues and payments, statements, and the committee's names and numbers. They do not see other residents' mobile numbers.
- Owners who do not live in the building see their own flat's dues and payments, the statements, and notices sent to owners.
- Other buildings cannot see anything about your building.
- Statements and messages shared on WhatsApp from the app show flat numbers (and names only if the committee chooses), never mobile numbers.
Service providers
We use these companies to run Flatlog. They process data only to provide their service to us:
- Supabase: database, sign-in and storage. Data is stored in Mumbai, India.
- Twilio: sends the sign-in code by SMS. It receives your mobile number.
- Sentry: crash reports.
- Google Play: app distribution.
- Cloudflare: hosts this website.
We may disclose information if required by Indian law.
Security
All data travels over encrypted connections. Sign-in uses a one-time code. Access rules in our database make sure each building sees only its own data and only the committee can record or change entries. No security is perfect, but we work to protect your information.
How long we keep it
We keep your information while your account is active. A building's money records and acknowledgements are its account book, so they belong to the flat and stay with the building even when people move out. Entries are never silently edited: mistakes are corrected with a new linked entry.
Deleting your account
You can delete your account in the app (Profile → Delete account) or by following the steps on flatlog.in/delete-account. When you delete your account:
- Your mobile number, sign-in account and profile are deleted.
- You are removed from your flats and the committee.
- The building's money records and acknowledgements stay, because the building needs a complete account book. They keep the name that was shown at the time (for example "Recorded by Lakshmi" or "Acknowledged by Lakshmi, flat 302") but are no longer linked to any account or mobile number.
- Crash reports are deleted automatically by our provider within 90 days.
Your rights
You can ask us to show you the information we hold about you, correct it, or delete it, and you can withdraw your consent at any time by deleting your account. Email flatlog.app@gmail.com; we reply within 7 days. If you are not satisfied with our response, you can complain to the Data Protection Board of India.
